Sports Clubs

  • You are required to complete an annual risk assessment along with your handover pack. Information for this will come out in term 3. 
  • You are also required to complete risk assessments for each event that you submit a planning pack for. 
  • Moodle link - This is a Moodle training on how to complete a good risk assessment. This is mandatory for at least 2 Execs to complete, with your handover in term 2/3. The certificates should be emailed with the rest of your handover pack
  • Due to Health and Safety, no homemade food can be part of any events. If you are having an external caterer, this needs to be approved by the SU, with at least 3 weeks notice. Please contact your coordinator to dicuss further. 

Societies

Why do we need to do risk assessments?

We all have a duty of care to anyone who could be affected by your activities. Risk assessments are a systematic review of all activities and environments to identify significant hazards. The process includes developing control measures that eliminate, reduce or control the risks that these hazards pose to people, property, the environment or the group with a view to producing safer conditions for your events and activities.

Risk assessments can help to ensure safe well-organised events, which can prevent damage and injury. They help you be aware and consider things that can be put in place to ensure activities are carried out sensibly and give everyone involved the best experience possible.

What is a risk assessment?

A risk assessment is a systematic process used to identify hazards, evaluate risks, and implement control measures to ensure safety in various environments.

How to do a risk assessment:

The SU now has pre-filled risk assessment templates for your Clubs/Societies to use. These will still need editing and amending to suit your activity. Additional hazards may need to be also added in.

There are five steps involved in the entire risk assessment process:

(1) Identify the hazards (what could cause harm)
(2) Identify who can be harmed and how
(3) Evaluate the risks for each hazard (e.g. likelihood, severity, control measures etc.)
(4) Record your findings
(5) Review and update as necessary

 

What are control measures?

Control measures are the actions or steps you  put in place and implement, that reduce risk. These make your activity safer  and they either remove the hazard completely, or reduce the likelihood of harm.

An example is equipment safety. The control measures would be checking equipment before use, PAT-testing and using protective equipment if this is required.

 

A risk assessment must be reviewed:

  • After a significant change e.g. when the procedure is no longer valid, change in equipment, change in location, if a chemical hazard categorisation has changed, after a University policy has changed etc.

  • Following an accident or incident.

  • Periodically depending on risk which may be at least every year

 

When do I submit a risk assessment?

The SU now has pre-filled templated for you to use for your events. These can be modified accordingly to suit your activity. These may not suit every event that you do, and it is your responsibility to ensure that this covers everything relating to your event/activity.

  • Don’t ignore near misses!! These can be a great way to revisit a risk assessment and review the things you have in place to make it safer going forward.
