Room Bookings

Here you will be able to find all the information you need about booking rooms, be that in Union North, Union South, or the University. You can skip to the desired section using the following links:

Union South Venues

As a society, you can hire out the Graduate Club or the Cooler for your events. This can be done for daytime events such as rehearsals or plays, or for evening events, for which the Grad Club is available any evening and the Cooler is available on a Tuesday only.

  • The hire includes technical services staff, stewards, security and bar staff.
  • There is a £30 deposit on the bar, which is refundable if £300 or more is taken over the bar.

  • There is an additional £50 if you would like the room hired for an additional hour.
  • You can get a Union DJ for £10/hour


Union North Meeting Rooms

You can use Union North meeting rooms for free, depending on availability. You can check availability at Union North reception, or by emailing Paula Thomas.


University CTT (Centrally TimeTabled) Rooms

You can book University rooms to hold meetings and other activities that do not make too much noise! The following are the University's guidelines for doing so:

To book a Centrally Timetabled Teaching Room for academic year 07-08, please visit the online room bookings at www.go.warwick.ac.uk/roombooking and select ‘Student Society Use’ under Type of Booking. Terms and conditions apply to the usage of all centrally timetabled rooms, as follows:

1. One clear working day’s notice is required for all evening and weekend requests.

2. Only 1 nominated person from each society should make bookings.

3. Smoking, eating or drinking is not allowed in any of the centrally timetabled rooms.

4. Activities should not cause any disturbance to anyone else.

  If the booking is for any "performance" related booking, there is much more suitable, dedicated local space that should be attempted to be booked before requesting a centrally timetabled room, such as the Drama Hall and Dance Studio - see contact details here.

5. Rooms should be left in a clean and tidy teaching room style (in rows) after use. Societies will be charged cleaning costs if a room is left in an unsuitable condition following use.

6. There is a small charge to societies of £10 for the demonstration of AV equipment. The audio-visual controls or equipment housed in the lectern should not be used without prior approval from the AV Services Unit (ext. 22463). Failure to do so will result in an automatic fine of £50. For further information go here.

7. All users of centrally timetabled rooms are required to abide by University Regulation 29 covering meetings etc. on University premises.

8. Contingency/provisional bookings are not permitted. If you don't need it, don't book it. To cancel a booking, email room bookings.

Please note that if any of these conditions are not met, this may result in a disqualification of the group concerned from using central rooms. Any costs incurred as a result of the damage caused by the group may be recoverable.
