Society Handover


This is a guide to giving effective handover so your society can build on your successes from this year. Run your elections in Term 2 so that the current and new execs can do the budgets together! To get advice on running your elections, go here.


Strategy Meeting

New presidents - make sure that you attend your exec strategy meeting with the Societies Officer in Term 3. This will be a 10 minute or so (or however long you want) chat about your plans for the society, and any ways that the Societies Officer can help you out in achieving what you want to achieve. You'll also recieve your handover guide, which will also serve as a mini-guide to help run your society. More info on the meetings will be sent via email to your society inbox.


Outgoing Exec Members

  • When you've elected the new exec, don't just run away and leave them in the thick of it!!
  • Allow the new exec to shadow you for a few weeks before they take over, ideally throughout a project/show/event.
  • Make sure your team makes your successors a handover folder containing exec job descriptions, the budget for the next year, the new yearly plan, information on any sponsorship packages your society has, and really all useful information from this year.
  • Make sure each old exec member takes the time to speak individually to their successor about their role, what they've done this year, and things they might need to know to have a successful year.
  • Have at least one joint Exec meeting (where the incoming Exec sit and watch the current Exec conduct a meeting).
  • Leave them with some contact details so that they can get hold of you and of other people you have found useful during your time on exec.

New Exec Members

  • Don't let the old exec get away with disappearing after the elections - make sure you find out what you need to know!
  • Register as the new exec with the Societies Administrator in the Resources Room upstairs in Union North and collect finance cards.
  • Have a look through the information on the Societies website to get the crucial knowledge you need to run really smoothly next year.
  • If you don't know, ask! If you can't get what you need from the old exec members, ask in the Resources Room, or ask the Societies Officer.

The first and best thing to do to get started is to have a look at the 'When You Start' section on the main Society Execs page at http://www.warwicksu.com/societies/execs.

The Exec Section is one of the four links on the main Societies page, which is where you get to when you click the Societies tab on the left of the Union website.
