Salary:

Students Union Grade 4 points 12 to 17. From £16,684 to £19,263 pro rata – actual salary - £13,714 to £15,834

Marketing Manager and through her the general manager, Board of directors

RESPONSIBLE FOR:

sTREET tEAM

MAIN PURPOSE FOR JOB:

works closely with:

supporting all marketing department activities including media sales, street team & promotional activity

all members of the marketing department, sabbatical officers, particularly communications officer, all departmental line managers.




Main duties

expected standards

To manage the enquiry and quoting procedures for Media Sales to external clients.

To update sales, booking form and proposal spreadsheets, client database, to process all invoices

Agree and work to meet appropriate sales targets

Develop and implement effective strategies for targeting new business ensuring Union policy is adhered to

High standards of communication to ensure projects managed effectively; accurate records of enquiries, quotes and communication to be maintained.

Information to be accurate, on-time and in correct and agreed format

To represent the Union in a professional and efficient manner

Minimise bad debts

Maintain administrative systems which underpin departmental activities including: copy writing & chasing, database management, sales invoice processing, minute taking and department administrative duties

Willingness to assist in all projects; accuracy and attention to detail is essential. Excellent interpersonal & communication skills.

Organised, enthusiastic must have good telephone manner

Observing confidentiality where necessary

Support Marketing Manager in project administration for media sales, sponsorship, publicity, major events, conferences and general marketing internally and externally.

High level of organisational and admin skills; good interpersonal skills, computer literate, meet deadlines for the production of project plans and monitoring of their progress; delivery of projects on time and in budget; accurate records;

Polite & effective telephone & written communication with external suppliers & internal departments essential

Dealing with general enquiries from students, staff, customers, suppliers and members of the public.

Polite and customer-friendly demeanour; high standards of customer care; ensure that diaries and other information are accurate and kept updated;

Initiative to find sources of information and help.

To maintain the administration and sales of Print services to internal and external clients.

To update print logs and print request spreadsheets.

Accuracy of report keeping and sales logs at all times. To provide great customer service.

Accurate, in correct format and on time

Source effective print quotes, write job briefs for Marketing and other departments upon request.

Confident telephone manner and research skills to identify most appropriate cost / quality quotations; ability to plan and chase up jobs when sending and receiving information via suppliers; effective interpersonal skills for working with internal and external customers. Computer literate.

Development and management of administrative systems such as billing, filing, photographic records.

Clear systems used by all staff; literature and files kept up to date; invoices sent on time; accounts managed, liaison with accounts staff

To support the department with all required financial documentation in line with the organization’s financial procedures

Accurate, on time and in the correct format

Ensure the highest standard of service is provided by the Street team in order to deliver effective publicity distribution across campus and beyond

To effectively promote the Union’s activities, maximising involvement and attendance

Set clear service standards

Monitor service levels and make recommendations for improvement

Delegate effectively to Street Team Coordinator

Work closely with the Venue and Entertainments Manager to maximise the effectiveness of the service

Recruit, develop, support, lead and inspire Street Team staff

Establish clear performance objectives for Street Team staff , and support them in their achievement

Apply appropriate personnel policy and procedures in accordance with Union policy and legislative requirements

Ensure the appropriate skilled staff resource is available for all services, at all times

Ensure a full and comprehensive induction is provided

Adhere to the Equal Opportunities policy

Regularly review progress against targets for direct reports

Ensure staff understand their own and team targets

Identify appropriate personal development plans for each member of staff

Ensure personal awareness & understanding of personnel policy

Communicate the policy to the appropriate individuals & ensure the policy is consistently implemented

Any other duties, in line with the job description, which may from time to time, be required such as working off site and occasional out of hours work i.e evenings, weekends as required.

ESSENTIAL SKILLS 

Experience of working in a marketing department minimum 1 year

Experienced in Word, Excel and Power Point

Organisational & planning skills

Exceptional communication skills and telephone manner with internal/external clients, managers and team

Able to work as part of a team

Confident

Ability to manage and prioritise a variety of projects at the same time

Able to work under pressure to meet deadlines and budget constraints

Strong client service focus with an awareness of personal impact on the customer experience

Strong written communication skills
