Here you'll find an explanation of all the stuff you can do on the website as a society exec member.

Note 1: If you're on an exec and you're not able to do any of this, you're probably not registered as an exec member. Check with the President of your society, and email the Societies Coordinator at pam.walker@warwicksu.com.

Note 2: Throughout this page, the phrase 'your society page' refers to the page that people get to when they click your society's name on the 'View All Societies' list.

WarwickSU.com/Societies

Your union's website offers you some great opportunities to communicate with your members, students at Warwick, and the wider world. The ways of using and exploiting these to the best effect are explained here.

We're currently updating the society pages, and hopefully they'll look cleaner and more consistent by the start of term. In the meantime, you can edit your society page by doing the following:

  1. Log into the Union website (at the top right corner of any of its pages).
  2. Click on the Societies tab at the top of the page.
  3. Find your society by clicking the appropriate category and then your society's name.
  4. You should now be on the page for your society. At the top right you should see and 'Edit Page' icon. Click this and then 'Edit Page' to get to the editor.
  5. You can choose to go for the WYSIWYG (What You See Is What You Get) editor, in which you can type, change fonts, add pictures etc using the toolbars. Alternatively if you're a bit of a dab hand with writing code for websites you can choose 'HTML Code' and edit the code of the page directly.

Your Webspace

Societies also have webspace, if you want to create your site outside of WarwickSU.com. This is typically http://www.sunion.warwick.ac.uk/socs/su999 with your society code instead of 999. Editing this relies on you having written the website already and simply having the files ready to upload.

The W: Drive

  1. Log in to a computer in the Student Activities Room as your society.
  2. Go to 'My Computer' on the Start menu, and you should find the W: drive.
  3. Upload your files to the W: drive, and name the home page of your website default.html

ftp

If you want to upload files from home and are familiar with ftp, you can also upload your website that way. The address for that is ftp.sunion.warwick.ac.uk - you will need to log in with your society code and password.

Admin Tools

At the top right of your society's page, next to the search box, you'll see an "Edit Page" icon. Clicking this and selecting "Admin Tools" will bring you to your society's admin page.

Adding or changing exec members on the system

At some point during the year you might need to edit the people on your exec, and you'll certainly need to after you've run your elections! Choose the 'Groups' option to do this.

You'll see a list of the exec positions, and you can choose 'Edit' to change the name of the position, 'Delete' to remove the position, or click the position name to change the name of the person that holds that position (but only if they're a member of the society!).

You can also use the 'Groups' option to create contact lists from your membership. For example if sometimes you only wanted to send messages to those members going on a tour, then you could create a 'Tour' list and then in the Message Centre you'd easily be able to send just them a message and not the whole society.

Choose 'Details' to edit the email address and website address that show up on your society page - by default these show your society email address and society website as described above.

Members

The 'Members' option is a chance to view a list of all your current, fully paid-up members. You can also choose 'List Members by Group' to see who's currently registered on the exec, who's a standard member, who's an associate member etc.

Signups

Using the 'Signups' option, you can create signup lists for anything you want your members to sign up to! All they have to do then is go to the society page and select the relevant signup, then they'll be automatically put on the list. Saves you a lot of faff with emails!

News

Choosing 'News' takes you to the news admin page where you can add and edit news articles, which then show up on your society page, if you've added a news widget, and the societies homepage.

Membership API

The membership API allows you to validate your members on external websites. To find out more, see warwicksu.com/membershipapi/about.

Email

Your society has an email address of the form su999@warwicksu.com, where 999 is your society number.

You can log into your email at https://mail.warwicksu.com/ or by following the link in the website footer.

Log in using your society username and password. The webmail works in the same way as your University email.
