World@Warwick Exec Election 2015

The polls have closed.

President

1. President:
- Lead the exec team in ensuring the smooth running of the society and all its events
- Check up on and assist all exec members in their tasks 
- Work closely with the Secretary to organise meetings, handle SU administrative matters etc
- Liaise with the SU and external parties on behalf of the society

Treasurer

3. Treasurer:
- Manage the society's finances, including processing reimbursements, managing budgets for events etc
- Secure sponsorship by designing a sponsorship proposal and contacting relevant companies  
- Liaise with sponsors and ensures all contractual obligations are met

Secretary

2. Secretary:
- Act as Vice President; works closely with President 
- Write and send out the weekly newsletter to all the society's members
- Take comprehensive minutes during meetings 
- Handle administrative matters such as organising meetings, filling in SU forms, etc
- Answer general email and Facebook queries

Buddy Scheme Coordinator

9. Buddy Scheme Coordinator:
- Advertise the scheme, recruit and pair up buddies according to their language preferences and proficiency 
- Organise meet-ups and socials for buddies 
- Work closely with IT Officer and/or relevant IT parties from the SU to develop a new online buddy matching platform 
- Answer relevant email or Facebook queries

Language Classes Coordinator

4. Language Classes Coordinator:
- Recruit students to teach free weekly language classes 
- Liaise with the language teachers and book rooms, to create a class timetable every week
- Organise meet-ups and socials to foster a proactive community of teachers
- Encourage language group leaders and their students to participate in the Language Cafe
- Assist with the running of the Language Cafe
- Answer relevant email or Facebook queries

Mentor Scheme Coordinator

8. Mentor Scheme Coordinator:
- Advertise the scheme, recruit and pair up mentors and mentees, for both Terms 1 and 2
- Organise and develop mentor training
- Organise meet-ups and socials for mentors and mentees 
- Liaise with the International Office 
- Answer relevant email or Facebook queries

Events Officer

6. Events Officer:
- Plan and organise large-scale cultural events for the society, which may range from on-campus cultural food fairs, to overseas weekend trips 
- Liaise with other societies to collaborate in organising such events
- Handle logistics and administrative matters, e.g. liaise with the SU and external parties for venue bookings etc
- Work closely with other exec members such as Socials Coordinator and Publicity Officer, to ensure the smooth organising, advertising and running of the events

Cultural Events Coordinator (2 places)

As Cultural Events Coordinator, you have the responsibility of organising day trips and outings for home and international students alike in order to offer an opportunity to explore more of the UK and the culture which is on offer. This role gives you a lot of freedom in deciding where you want to go each term. It is expected that the Cultural Events Coordinator organises one tour per term, as well as at least 2 other day trips/outings per term.

What the role involves:

  • Responsible for calling up the places to book tickets
  • Liaising with the SU to book coaches and for online ticketing
  • Creating events on the SU website and checking ticket sales.
  • Researching sports matches/musical performances/other outings which may be suitable for World@Warwick
  • Completing the relevant SU event forms, financial planner, and risk assessment sheets for every event/trip.
  • Ensuring Events Publicity Officer has all the relevant details for Cultural Events as far in advance as possible.
  • Attending day trips and tours as well as many other socials as possible
  • Replying to queries via email and on Facebook

Languages Publicity Officer

7. Publicity Officer:
- Design posters and flyers to advertise the society and its events
- Manage the society's Facebook page 
- Create Facebook events, posts etc to advertise society events to generate interest and ensure high attendance  
- Take photos during the society's events and upload them onto the relevant platforms (social media, society website)
- Work closely with other exec members such as the Socials Coordinator and Events Officer

Social Secretary (2 places)

It is the role of the Social Secretary to organise social events, holding 3 each term, with a "Global" night in the Terrace Bar in the first week of term as a welcome event. As planning ahead is essential, the Social Secretary must confidently communicate with other societies and be an effective organiser. Great people skills and a friendly approach are also essential!

What the role involves:

  • Organises and takes responsibility for the society’s events, 3 per term (or more!!)
  • Finds one, or several, societies to collaborate with on each event.
  • Dinners or bar crawls throughout the year as desired.
  • Regularly checks the society email inbox.
  • Expected to support and attend other events run by the society.

Charities and Volunteering Coordinator

Charities play a huge role in Warwick SU societies nowadays and World@Warwick like to monopolise upon this as much as possible. As Charities and Volunteering Coordinator of World@Warwick, you have the responsibility of choosing one (or more than one) charity which World@Warwick will choose to support as a society, as well as working with Warwick Volunteers to try and set up volunteering opportunities within schools, particularly where languages are concerned.

What the role involves:

  • Choose a charity (or more than one charity) to support at the beginning of the academic year
  • Work with the other exec members to organise suitable events where the principle aim is raising money
  • Work with the Co-president of Events to ensure that the Study Abroad Ball raises as much money as possible
  • Involve members where possible in fundraising activities, such as the Major Series or a Sponsored Swim
  • Attend as many other socials as possible to support other exec members
